    Microsoft Outlook 98/2000/2002/2003/2007

  1. When syncing with Outlook no data transfer occurs or you receive an error with unreadable characters when trying to configure the data sources or mapping sections.
    • This problem occurs when the Outlook file cdo.dll is not installed. The CDO file is an Outlook file that we use to communicate with Outlook.

      For Outlook 2003 and earlier versions of Outlook follow these instructions to install cdo.dll:
      1. Go into add/remove programs and click on Microsoft Outlook or Microsoft Office.
      2. Click on Change and choose Add or Remove Features and click Next.
      3. Click on the plus sign next to Microsoft Office Outlook.
      4. Go to Collaboration Data Object (it might have a red X next to it) and click on the down arrow.
      5. Choose to run all from my computer and click on update.
      6. If this is file is not cached as part of the original install package it might prompt you for the office CD. If this does happen the CD will be required to install.
      For Outlook 2007 users version 6.5 does not require the cdo.dll. Please contact support if you are experiencing errors with version 6.5. Outlook 2007 users who are using version 6.1 or 6.0 must download the cdo.dll package from Microsoft at the link below:

  3. How do I synchronize Outlook subfolders?
    • Yes, we support Outlook subfolders, but there is a catch because of device limitations. Unfortunately, the subfolder support only occurs on the PC Outlook side, not the device, because Microsoft gives no way of creating/managing PIM data subfolders on a device. Thus, the way it works is this, for example:

      You have a “Notes” top level “folder” in Outlook and under that you have a “subfolder” called “Personal Notes”. When you enable the subfolder support in XTNDConnect PC, for the “Notes” folder, all records in both “Notes” and “Personal Notes” will be synced to the root “Notes” folder on the device.

      This means all records form all folders in the chosen structure of Outlook will be placed in a single root folder on the device. Some people can handle this; some cannot.

      Furthermore, if you then make a change to one of those records on the device, XCPC knows to sync the changes back to the appropriate folder that record came from in Outlook.

      But if you create a new Note item on the device, XCPC will sync this new record to the root “Notes” folder in Outlook, because there is no way to know which folder you really want it in if you created it on the device.

      XTNDConnect PC can be set to synchronize a top-level folder as well as any subfolders (and even subfolders of subfolders), by clicking the Settings button, choosing the Data Sources tab and selecting a Data Source to modify. Then enable the "Include Subfolders" checkbox.

  5. Can XCPC sync public folders in Microsoft Outlook?
    • XCPC uses configurable Data Sources to define which Outlook items/folders are synchronized. Each Data Type (Email, Tasks, Calendar, Contacts, Notes) can only have one Data Source, with or without subfolders, as noted below:
      1. Configure XCPC to sync default Outlook Top-Level Folders Only (Inbox, Sent Items, Drafts, Contacts, Tasks, Notes, Calendar) – this is the default at install;
      2. Configure XCPC to sync default Outlook Top-Level Folders including Subfolders, by enabling the flag in the appropriate Data Sources (Inbox AND all Subfolders of Inbox, etc.);
      3. Configure XCPC to sync Public Folders, non-default top-level local folders or specific subfolders without the top-level parent folders, by changing the selection in the appropriate Data Sources;
      XCPC cannot sync two top-level folders of the same Data Type (i.e., Local Contacts folder AND Public Contacts Folder), but it can sync some Data Types to a Public Folder and others to the local (i.e., Contacts from the Public Folders and Email from the local).

      A note about XCPC and Public Folders:

      Public Folders require special user permissions granted by the Exchange Server Administrator. For XCPC to function properly when syncing Public Folders, the user must be granted “Editor” permissions (Create Items, Read Items, Folder Visible) for each of the Public Folders being synced by XCPC. Obviously, Public Folders are intended to be a shared repository accessible to many people. Thus, changes to Public Folders are typically not desired. It is recommended that XCPC be configured for One-Way sync (from Outlook Public Folders to the Device) for the Data Types being synced with Public Folders.

  7. How do you synchronize with an Archive folder in Microsoft Outlook?
    • When you archive both sent and received mails to the same folder, the sent date in Microsoft Outlook is changed to "none". A date of "none" in PC is transferred to the mobile device as 01/01/4501 since "none" is not supported in the mobile device.

  9. Is there a maximum field length in Microsoft Outlook?
    • There is a maximum field length or number of characters allowed in any particular field of 255 characters. If length of data entered in a field is more than 255 characters, after being imported to Microsoft Outlook it won't be displayed properly. It might not even be displayed at all.

  11. How can I add or remove translators for XTNDConnect PC version 6.0 or version 6.1?
    • To add new translators go the control panel and click on add/remove programs.
      1. Click on XTNDConnect PC in the add/remove applications list.
      2. Click the Change button and click Next at the Welcome Screen.
      3. Choose Modify and click Next
      4. At the Select PC Applications and Devices Screen you can check and uncheck each device and translator to either add or remove from your current configuration.
      5. Continue through the remainder of the installation.

  13. Lotus Notes users experience the following error “the specified module could not be found" when configuring the Translator in XTNDConnect PC 6.5. User may also experience errors when configuring data sources or no data is being synced.

  15. Your Inbox doesn't appear to have been updated in Lotus Notes? Why?
    • The Inbox in your mobile device needs to be closed prior to synchronization with Lotus Notes. This will insure that any changes are updated properly.

  17. You deleted an item in Lotus Notes but it was not deleted in your mobile device. Why?
    • If an item is only marked for deletion in Lotus Notes but the trash has not been emptied prior to a synchronization, the record will not be deleted from the mobile device.

  19. When you create a recurring appointment in Lotus Notes all occurrences are not transferred. Why?
    • In Lotus Notes, when you create a repeating appointment, Lotus Notes creates one additional instance in the date you are creating the appointment IF the repeating appointment start date is different from the repeating appointment creation date. So, the appointment is not considered a recurring appointment by Lotus Notes and is not synchronized to the mobile device.

  21. Your recurring appointment in your mobile device doesn't transfer to Lotus. Why?
    • In Lotus Organizer 97 and Lotus Organizer 97 GS, recurring appointments are hard-coded for 10 weeks of occurrences only. This means simply that only 10 weeks of occurrences will be transferred to Lotus Organizer 97 and Lotus Organizer 97 GS.

  23. Why are your repeating records in Lotus Organizer being synched to your mobile device as individual records?
    • The Lotus Organizer translator supports repeating records only as individual records. This is due to a limitation in the Lotus Organizer API module.

      A repeating record in the mobile device will be expanded to individual records and written into Lotus Organizer. If one of the instances in the mobile device is modified, all corresponding individual records in Lotus Organizer will be deleted and a new set of expanded records will be written into Lotus Organizer. This is why you get a deleting records message when you modify an instance of a repeating record in the mobile device.

  25. The appointment you modified to an all day appointment was deleted and then added in Lotus Organizer. Why?
    • If you've got an appointment in Lotus Organizer which has a start time and an end time and you modify that appointment to be an all day appointment, the appointment will be deleted and then a new appointment is created in Lotus Organizer. Therefore, when the appointment is modified to an all day appointment, you will receive a delete confirmation record for that appointment to be deleted from your Lotus Organizer data file.

  27. Your contacts middle name is not synchronized to your mobile device. Why?
    • In Lotus Organizer, the middle name is not supported, therefore the middle name will not be synchronized to your mobile device.

  29. Your recurring appointment in your mobile device doesn't transfer to Lotus. Why?
    • In Lotus Notes, Lotus Organizer 97 and Lotus Organizer 97 GS, recurring appointments are hard-coded for 10 weeks of occurrences only. This means simply that only 10 weeks of occurrences will be transferred to Lotus Notes, Lotus Organizer 97 and Lotus Organizer 97 GS.

  31. You get the message that OrgApi32.dll is missing. What should you do?
    • OrgApi32.dll is not installed when you select to install using the minimum installation feature option of Lotus Organizer. You must reinstall Lotus Organizer using the default installation. This will ensure that OrgApi32.dll is installed.

  33. You're getting a message "File is in use". What should you do?
    • Frequently, Lotus Organizer files are stored as single-user access. The file should be saved as a multi-user access for the current version of Lotus Organizer in order to avoid this error message.

  35. You're prompted all the time to enter your password using Lotus Organizer. Isn't there some way you can avoid this?
    • Your password for Lotus Organizer is only valid for the current session. If you don't want the password information to be asked for every session, you can click the checkbox in the lower left-hand corner of the password prompt screen to Save Password.

  37. You just upgraded your Lotus Organizer but the other Lotus Organizer installation is still there. Can you synchronize with that version?
    • If more than one version of Lotus Organizer is installed in your PC, by default the Lotus Organizer translator will interact with the last version installed.

  39. Can you synchronize your Calls section in Lotus Organizer?
    • The Calls section of Lotus Organizer 97 files can be mapped to any Appointment type application in your mobile device. But, both Calendar and Calls cannot be synchronized to your mobile device at the same time.

  41. Can you synchronize other sections in your Lotus Organizer database?
    • Version 6.5 synchronizes Calendar, Calls, Tasks, Planner, Anniversary, Notepad, and Contacts. Version 6.0 and 6.1 synchronizes Calendar, Calls, Tasks, Notepad, and Contacts.

    Act! 2000/5.0/6.0

  43. Your data does not appear in Act! after synchronization. Why?
    • If you're using Act! 3.x and there are no records in your data file after synchronization completes, you can close and reopen the data file to refresh the applications.

  45. On my device my appointments from my Act calendar do not show who they are with.
    • Unfortunately the whole “link” between Activities and Contacts that Act is so adept at handling gets lost when moving to any system unrelated to Act, including devices.

      However, you can create the illusion of this link. For instance, the Pocket PC, doesn’t have a “With” field like Act does, but it does have a “Location” field, which Act does not. So in XCPC, you can map the Act “With” field to the Pocket PC “Location” field, and then your contact’s name will appear in the appointment listing on the Pocket PC.

      In XCPC, click Settings > Mapping – highlight Calendar and look for the “With” field in the Act column and the “Location” field in the Pocket PC column and drag and drop one to the other to create a new mapping.

      Click OK twice and then force a full sync of your Calendar items to apply the new data mappings to the device.
